Position:  Transportation Dispatcher/Receptionist

 

Qualifications:

• High school diploma or equivalent, experience in dispatching, transportation, customer service, reception, office administration, or a related field, strong verbal and written communication skills, ability to manage multiple priorities in a fast-paced environment, ability to remain calm and exercise sound judgment in time-sensitive situations, proficiency with computers, telephones, and two-way radio systems, strong organizational and record-keeping skills, ability to maintain confidentiality, and ability to establish effective working relationships with employees, students, parents, school personnel, and the public.

Reports To:  Director of Transportation and Assistant Director of Transportation

 

GENERAL SUMMARY:

 

Serves as the primary communications and dispatch point for the Transportation Department, monitoring and coordinating all radio transmissions and maintaining control of department radio traffic. Works closely with drivers, transportation leadership, schools, and other district personnel to communicate timely information and support the safe and efficient operation of daily transportation services. Provides front-office and receptionist support while working collaboratively with the secretary at the second transportation hub to ensure consistent communication, coordination, and administrative support across both transportation locations.

 

PERFORMANCE RESPONSIBILITIES:

• Serve as the primary dispatcher and focal point for all Transportation Department radio communications.
• Monitor and control radio traffic to ensure clear, timely, and professional communication.
• Coordinate communication and support during bus breakdowns, accidents, delays, weather events, and other transportation-related situations.
• Receive and respond to telephone calls, messages, and general inquiries from parents, schools, employees, district personnel, and the public.
• Work closely with the secretary at the second transportation hub to coordinate communication, office operations, and daily transportation needs between both locations.
• Manage the transportation department calendar, coordinate meetings, and acquire supplies for office personnel.
• Assist transportation leadership with monitoring daily driver attendance and operational staffing needs
• Deliver administrative support to leadership and staff to ensure efficient daily operations.
• Assumes other reasonable and equitable job-related duties assigned by Director or Assistant Director

WORKING CONDITIONS:

 

Office environment with no exposure to environmental conditions. Physical demands are
restricted to general office activities requiring movement. Lifting items weighing up to 25 pounds.
No travel required. Requires ability to work under a degree of stress related to duties that require
constant attention and meeting tight deadlines.
